In the table view of the Tour Operator module (accessible through the main menu > Tour Operators > Allotments > table icon at the top right of the screen) you will find detailed information of all your Tour Operators. It is a very complete screen, very similar to the Overview table, that breaks down the data by tour operator, KPI (RNs, ADR and Rooms Revenue) and space, comparing booked vs. contracted rooms. It also displays on the same screen additional information about the hotel’s overall situation: availability, OTB, forecast, sendings, recommendations and compset prices.
From this screen, as well as from the tour operator general view, you can also keep track of the different release dates of each tour operator indicated on the “release” column. Additionally, you will be able to see the stop/opening sales recommendations by TTOO and space, manage them and proceed with the sendings or communication to the TTOO. The table may contain too much information, even much more than the one needed for your day-to-day decision making, so another important feature is the possibility to customize it with the values you really need. You can do so using the filters and the favorites functionality.
The “filters” button located at the top of the table will only have an impact into the sending and recommendation columns. To filter all other columns, we suggest you to use the side filters of the table pressing the “columns” option.
Favourites management As in the overview table, in this table you can also save your different views and configurations as favourites. In order to facilitate the usage and management of the stop/opening sales functionality, two favourites views have been enabled by default: one where only information related to closings or openings is shown and another where in addition to information related to the stop/opening sales, information about sales status (difference between contracted and booked) per TTOO is also included.
Stop/opening sales audit Located on the right side of the screen, you will find a small tab called “Stop/opening sales audit” containing historical information of all closings/openings done and all communication emails sent.
Concept definition:
OTB: is the same OTB data (in % and RNs) that you will find in any other BeonX´s screen. These are the RNs or % of occupancy that the RMs receives through the integration with your PMS based on the reservations and blocks you have.
OTB + guarantees: is the previous OTB data plus the addition of all guaranteed contracted RNs that have not been blocked in the PMS. If all contracted rooms have been entered and blocked in your PMS, they will already by included in the previous OTB value and both values will probably match. However, there are hotels that despite having guaranteed rooms, they decide to do not enter them as blocked in the PMS, needing to work with two occupancy values: one with the reservations and blocks they actually have in the PMS (Occ. OTB total hotel) and another showing their real occupancy (Occ. OTB total hotel + guarantees) adding the rooms that are guaranteed and have to be taken into consideration but are not blocked in the PMS.
Available rooms: it’s just the result of deducting the booked rooms to your total inventory (inventory - OTB).
Available rooms - guarantees: it’s the result of deducting to your total inventory the blocked rooms coming from the PMS and all those guarantee contracts that have not been blocked in the PMS (inventory - OTB - guarantee contracts). It’s the real availability of rooms after deducting all reserved rooms whether they are blocked in the PMS or not.
Total close outs: days where all tour operators and spaces are closed. Indicated in the table with a check icon or “tick”.
Partial close outs: days where only some tour operators or spaces are closed. Indicated in the table with a dash.
Stop/opening sales sent: days where a closing or opening has been done and the communication email has been sent but the TTOO has not yet confirmed its receipt. Indicated in the table with a double black check icon or a double black “tick”.
Stop/opening sales confirmed by the TTOO: days where a closing or opening has been done, communicated and confirmed by the tour operator. Indicated in the table with a double blue check icon or a double blue “tick”.
